Users will soon be able to create Inbox Rules based specifically on emails marked as external, allowing external communication to be automatically organized, categorized, or prioritized.
The feature builds on the existing ExternalInOutlook capability, which identifies messages originating outside the organization.
- With this update, that metadata becomes actionable inside Outlook rule processing.
- Automatically move external emails to dedicated folders
- Categorize outside communication separately from internal mail
- Reduce inbox noise using rule-based automation
- Improve visibility into external interactions
Supported across:
• Outlook for Windows (new)
• Outlook on the web
• Outlook for Mac
• Exchange Online
Rollout timeline
• General Availability: Early June to late June 2026
No new metadata is being introduced here. Microsoft is simply exposing existing email classification data as a usable rule condition within modern Outlook experiences.
