Copilot access alone doesn’t guarantee consistent results across an organization. While some employees naturally know how to frame requests and extract value from AI, others struggle to convert everyday business tasks into effective prompts. This gap often leads to uneven adoption and inconsistent outcomes.
To help organizations address this challenge, Microsoft is introducing Organization Prompts to Copilot Chat.
Starting in July 2026, admins will be able to create and publish organization-approved prompts directly from the Microsoft 365 admin center.
These prompts will appear within Copilot Chat, which allows organizations to guide users toward specific business scenarios, approved workflows, and company-relevant use cases.
Rather than relying on users to discover effective prompting techniques on their own, organizations can offer role-specific prompt recommendations that reflect internal terminology, workflows, and operational requirements. For example:
- HR teams can receive prompts for policy interpretation and employee communications.
- Managers can access prompts for status updates, planning, and performance discussions.
- Support teams can leverage prompts designed for issue investigation and customer case analysis.
Another useful addition is built-in analytics. Admins will be able to see which prompts employees are actually using, identify underused ones, and build a prompt library based on actual usage patterns.
It’s important to note that Organizational Prompts do not introduce a new Copilot experience or alter existing licensing, compliance, security, or governance controls. Instead, they provide a structured way to improve prompt quality, accelerate adoption, and drive more consistent business outcomes from Copilot Chat.
One requirement to keep in mind: users will only see curated prompts in Copilot Chat after at least one organizational prompt has been published.
