How much do you actually know about what your custom-built Copilot agents are up to? I mean, beyond the neat things they do, do you know how often they’re being used, who’s using them, or which ones are really making a difference for your team?
If that sounds familiar, you’re not alone—I’ve had those questions floating around in my own head too. And now, there’s finally a way to get answers. Microsoft Viva Insights is rolling out a new Power BI report that dives deep into Microsoft 365 Copilot agents. And yes, it’s as useful as it sounds.
In short, this report is designed to give leaders, managers, and analysts a clear picture of how Copilot’s declarative agents are performing across an organization. You can stop guessing which agents are truly adding value and start seeing real adoption trends, usage patterns, and retention metrics, all in one place.
The New Microsoft 365 Copilot Agents Report
The report lives inside Microsoft Viva Insights and is split into three main sections:
- Agents Adoption Summary
- Copilot Agent Usage Across Microsoft 365 Apps
- Individual Agent Adoption Information
The rollout will happen in two phases. First, a public preview kicks off in mid-September 2025 and wraps up by the end of that month. Then, early December 2025, the report moves to general availability, and by year-end, everyone with the right access will be able to use it.
Agents Adoption Summary
This gives the bird’s-eye view of how Copilot agents are being adopted across your organization. It’s perfect for leaders and admins who want a quick snapshot of the big picture. Some of the things you’ll see include:
- The percentage of people interacting with agents, and total responses to see how often agents are actually used.
- The active agent users trend chart helps track adoption growth and engagement over the past month.
- Identify which agents are the most popular and driving the highest usage. This gives a clear sense of which ones are truly valuable.
- Finally, insights into agent creators: users, departments, partners, or Microsoft—help determine whether adoption is driven by structured initiatives or grassroots efforts, signaling where governance or training may be needed.
Copilot Agent Usage Across Microsoft 365 Apps
This section zooms in on where Copilot agents are being used across different Microsoft 365 applications. It’s not just about total interactions; it shows which apps are seeing the most engagement.
- Choose how many apps to display in the default view for easy comparison.
- See the number of distinct agents used within each app.
- Track the total volume of interactions for all agents in an app.
- Identify the most popular agent within every app.
- View the proportion of app users engaging with agents (e.g., 60% of Copilot Chat users versus 55% in Word).
This view helps organizations understand where agents are delivering the most value, guides adoption strategies, and informs how to improve agents across different apps.
Individual Agent Adoption Information
Here’s where the report gets really detailed, without compromising privacy. You can filter by a specific agent to get a closer look at its performance.
Key insights include:
- See monthly adoption patterns, whether an agent is growing, plateauing, or declining. You’ll also get snapshots of changes in active users over the past week or month.
- Check how many users from the previous month are still active. High retention means an agent is genuinely useful; low retention can signal it’s only a one-off interaction.
- Break down active users by department—Sales, Digital, Operations, Marketing, and see totals, percentage changes, and net gains or losses per group.
Seeing which agents have the highest retention rates can give you clues about what a truly “sticky” and valuable agent looks like. You can then use those learnings to improve your other agents.
So, for all the leaders, managers, and admins out there, this new report is truly a must-have. It goes beyond basic adoption metrics and gives you a clear view of the real value your Copilot agents bring. With the public preview coming mid-September and general availability following in December 2025, it’s a great time to get ready and start thinking about how you’ll leverage these insights in your organization.
