One of the most common operational risks in Microsoft 365 environments is limited visibility into backup activities. When only a single admin receives alerts for critical events—such as restore initiations, backup disablement, or policy changes—organizations are left vulnerable to delays, miscommunication, and even compliance failures.

To solve this challenge, Microsoft is rolling out Multi-Admin Notifications for Microsoft 365 Backup, starting early July 2025.

This new feature allows organizations to configure a centralized backup notification list, ensuring multiple admins and relevant stakeholders are notified in real time—not just one individual.

What Is the Multi-Admin Notification Feature?

This feature introduces a more collaborative and resilient notification system within Microsoft 365 Backup. Admins can now define who should receive backup-related alerts using predefined roles or custom recipient lists.

It enhances awareness, improves response time, and helps prevent unauthorized or unmonitored actions from going unnoticed.

Rollout Timeline:
The Multi-Admin Notifications feature for Microsoft 365 Backup will begin rolling out globally in early July 2025 and is expected to complete by mid-July 2025. This update applies only to organizations using Microsoft 365 Backup.

Once the feature is available, organizations can configure backup notifications in one of the following four ways:

  1. All Global Admins and Microsoft 365 Backup Admins
  2. Only Global Admins
  3. Only Microsoft 365 Backup Admins
  4. Custom List – Add individual users, distribution lists (DLs), or security groups

What are the Events That Trigger Notifications?

Notifications are sent when any of the following backup-related events occur:

  • Backup disablement
  • Service offboarding
  • Restore initiation
  • Backup policy changes
  • (Optional) Routine backup job completions

These alerts help ensure immediate visibility into both routine and critical backup actions.

How to Enable Multi-Admin Notifications in Microsoft 365 Backup?

  1. Go to the Microsoft 365 Admin Center

  2. Navigate to Settings  -> Org Settings -> Pay-as-you-go services.

  3. Set up and enable ‘Microsoft 365 Backup’.

  2. Save and apply changes to activate real-time alerts

Important: The feature is enabled by default, but notifications must be configured to begin receiving alerts.
