Introducing Auto-archiving in Exchange Online

Auto-archive in Exchange Online

This new feature automatically moves the oldest mailbox items to a user’s archive once mailbox usage reaches 90% of its quota — as long as archiving is already enabled.

  • Instead of relying only on time-based rules (like “archive after 2 years”), Auto-Archiving adds a threshold-based trigger for smarter, proactive mailbox management.
  • Once the primary mailbox crosses 90% utilization, the Managed Folder Assistant automatically archives older items until usage drops below the limit — including recoverable items.

Microsoft initially planned the rollout for October 2025, but it’s now on hold. The pause comes after concerns that organizations needed more prep time to align this change with existing compliance and retention strategies.

Microsoft will announce a new release date later. Until then, it’s a great time to review your archiving policies and ensure readiness for the update.
